Apps to make managing your SMSF easier

One of the things we are passionate about at Superfund Partners is making the administration of your SMSF easier to enable you to spend more time on things that are important to you.

We know that many of you utilise various smart phones and tablets.  I personally get at least 6 emails a day that have the tell-tale “Sent from my iPhone” or “Sent from my iPad” on the bottom.

In this article we reveal three clever and easy to use apps that you can use to make looking after your SMSF a breeze!

Update: Superfund Partners launches Superstash SMSF App

TakeControl

Superfund Partners has launched the Superstash SMSF app.

You can learn more about the app and download it via www.superstash.com.au

1. Class Super

One of the great things about an SMSF is the ability to keep your finger on the pulse and be engaged with the your wealth creation or management.

The Class Super app (currently available for Apple iPad only) provides the same functionality as the online SMSF accounts (FundWeb) and enables you to:

  • See an up to date picture of all your SMSF investments and accounts
  • Track contributions against contribution caps
  • Check pension drawings against minimum (and maximum) levels
  • See a full spectrum of investment reports including unrealised capital gains
  • Have visibility on any transactions we haven’t reconciled
Access Access to the app is a secure login using your FundWeb login credentials.
If you don’t already have online access to your SMSF accounts, please register your details here
Security The app provides the option of saving your username and password.  We recommended NOT doing this.
Access is controlled by Superfund Partners, and we can cancel and remove access immediately upon request.
FundWeb or the app doesn’t provide any personally identifiable information such as tax file numbers or bank account numbers.

2. Box

Box is an enterprise level cloud based document management application Superfund Partners utilises to make sharing and collaborating with our clients a lot easier and more secure than email.

We use Box to quickly and safely share documents with the SMSF trustees and adviser we work with.

You are also able to download various apps on your smart phone or tablet (Apple or Android or Windows) that enable you to upload documents directly to us – whether they are PDFs you have received via email, or a photo of a statement we need to complete your accounts.

Box is free to use if you are a Superfund Partners client, however there are storage limits (albeit generous ones) if you choose to use it for your non-SMSF documents.

Access Access to the app is a secure login using your Box account login credentials. If you don’t already have online access to your SMSF documents, please register your details here.
Security The app provides the option of saving your username and password. We recommended NOT doing this.

3. Docusign

Did you know that the vast majority of property transactions in the United States are handled electronically?  In addition, Australia has had legislation enabling the use of electronic signatures since 1999.

Please refer to my previous article: Can you sign SMSF document electronically? for more information.

Although the article talks about Echosign as a solution, we are currently transitioning across to the more flexible Docusign solution.

Docusign has apps available for iPhone, iPad, Android and Windows Phone.  You DO NOT require a stylus to sign electronically.

At Superfund Partners we accept electronic signatures for all relevant documents including Service Agreements, SMSF annual accounts and returns, trustee minutes and declarations.  The ATO as well as our independent auditors also are more than comfortable with the use of electronic signatures. Currently more than 10% of our clients use electronic signatures for signing their SMSF documents – wherever they are in the world!

Financial institutions including CBA and Macquarie Bank have started to implement electronic signatures for customers also (well – they need some good news!)

Access Access to the app is free but you will need to sign up for a free account to use it.If you haven’t already registered to utilise electronic signatures, please do so by completing the registration. Please note that each individual person who will sign documents should have their own unique email address.
Security The app provides the option of saving your username and password. We recommended NOT doing this.
Superfund Partners will password protect any documents we send to you to prevent unlawful signing.

Summary

Using apps like the above can make life a lot easier when it comes to managing your SMSF.  Electronic signing especially is an area where great efficiencies are available – it will not be long until you will have the option of signing electronically at one of our offices rather than on paper (and the cramp you can get in your hands when you have to sign dozens of times!).

The Superfund Partners is currently getting up to speed with these apps – so if you have any questions please us know via email info@superfundpartners.com.au

We also recommend taking care of security with any devices – especially when travelling:

  • Never use a ‘free’ wifi hotspot unless you know you can trust it
  • Always use a password / lock code on all devices including phones, tablets and laptops
  • Always have up to date virus protection software installed on your computers
  • Be very cautious about what documents you have in your web based email account (Gmail is significantly safer than Hotmail and Yahoo according to the experts!)

If you have any suggestions for other apps that can make life easier when it comes to your SMSF, please let us know!
